Multi-Branch Restaurant Inventory &
Order Management System

The Multi-Branch Restaurant Inventory & Order Management System is a centralized platform designed to simplify inventory management, supplier ordering, recipe costing, kitchen operations, and point-of-sale workflows for restaurant chains. The platform connects branch-level operations through real-time inventory tracking, kitchen order tickets, menu synchronization, supplier management, and food-safety recordkeeping. Instead of relying on manual stock updates and disconnected branch systems, restaurant teams can manage daily operations through one synchronized platform.

Challenges

The development team faced several operational and technical challenges while building the platform:

Accurately deducting ingredient stock in real time as multiple orders are placed simultaneously across POS terminals, without over-deducting shared ingredients used across different recipes.

Synchronizing menu items and price changes instantly across multiple branch POS terminals and kitchen displays while preventing terminals from accepting orders with outdated menu information.

Managing inventory, supplier orders, goods receipts, waste, recipe costs, and food-safety records across multiple branches without creating disconnected or inconsistent data.

Maintaining reliable restaurant operations during temporary terminal disconnections while ensuring that offline terminals could reconcile menu changes before processing new orders.

Our Approach

To address these challenges, the platform was built around transactional inventory management, real-time communication, and version-controlled data synchronization.

Stock deduction is handled within PostgreSQL transactions using SELECT ... FOR UPDATE row locks on relevant ingredient stock records. This ensures that simultaneous orders cannot incorrectly deduct the same inventory and that order confirmation and stock deduction occur atomically.

A dedicated Socket.IO broadcast channel for each branch pushes menu and pricing updates to connected POS terminals and kitchen displays in real time, eliminating the need for manual refreshes.

Menu changes are stored in a versioned PostgreSQL menu table. When a terminal reconnects after being offline, it compares its local version with the latest version before accepting new orders, allowing outdated menu data to be reconciled safely.

Recipe-level inventory mapping connects menu items with their ingredients, allowing confirmed orders to automatically deduct the required quantities and trigger low-stock alerts when inventory reaches configured thresholds.

Supplier ordering and goods-receipt workflows connect purchase orders with received quantities and invoice prices, making it easier to identify discrepancies and maintain accurate inventory costs.

Structure/Layout

The platform brings together the key operational workflows of a multi-branch restaurant into one connected system. Restaurant owners and branch managers can monitor sales, inventory levels, low-stock alerts, and kitchen activity from a centralized dashboard. Servers create orders through POS terminals, which are routed to the appropriate kitchen stations through the KOT system. Once an order is confirmed, the system automatically calculates the required ingredients from the associated recipe and deducts them from branch inventory. Inventory staff can manage supplier orders, receive goods, compare invoice prices, and record waste or spoilage. At the same time, menu and pricing updates can be distributed across branches through real-time synchronization, while food-safety staff can maintain temperature logs and recurring inspection records. The system uses role-based access to ensure that owners, managers, chefs, servers, and inventory clerks only access the functionality relevant to their responsibilities.
